Information on processing personal data:

 

Administrator
The administrator of your personal data is the University of Wrocław based in Wrocław, pl Uniwersytecki 1, 50-137 Wrocław.

 

Data Protection Officer (DPO)
The controller has appointed a Data Protection Officer who can be contacted via email: IOD@uwr.edu.pl or by mail to pl. Uniwersytecki 1, 50-137 Wrocław.
The DPO can be contacted on all matters relating to the processing of your personal data by the University of Wrocław and your exercise of rights related to the processing of your personal data.
 
Purposes and legal basis for processing
Your personal data will be processed in connection with your participation in the recruitment process. The processing of your personal data is necessary for the fulfillment of legal obligations incumbent on the Administrator in connection with the performance of tasks set forth, among others, in the Act of 20 July 2018 - Law on Higher Education and Science, executive acts issued on its basis and internal executive acts of the University of Wrocław (Article 6, section 1, letter c of the GDPR) in connection with the fact that the processing is necessary for the performance of a task carried out in the public interest or in the exercise of authority vested in the Administrator (Article 6, section 1, letter e of the GDPR).
Your data may be processed for the purpose of concluding a contract for the organization of studies (Article 6, section 1, letter b of the GDPR).
Your personal data may also be processed on the basis of the controller's legitimate interest, which is the right to establish, assert and defend claims (Article 6, section 1, letter f of the GDPR).
Your data will also be processed for statistical purposes in order for the university to fulfill its reporting obligations in connection with the provisions of the Public Statistics Act of 29 June 1995 and the provisions of the Act of 20 July 2018 - (Article 6, section 1, letter c of the GDPR).
 
An individual account in the Internet Candidate Registration (IRK) will remain active during the recruitment process, and will be deleted within 6 months after its completion. The processing of your personal data for the purpose of retaining the individual account in the IRK system for two subsequent recruitment cycles will be possible based on a separately given consent (Article 6(1)(a) GDPR) in the account settings within the IRK system. Consent may be withdrawn at any time by making changes in the IRK system. Please note that the withdrawal of consent does not affect the lawfulness of the processing carried out based on the consent before its withdrawal.

 

Data retention period
Your data will be processed for the duration of the university recruitment process, and after its completion for a period of 6 months. When applicable, your personal data will be processed for the period necessary to establish, assert and defend claims. If you have given your consent to be informed about future recruitments, your personal data will be processed for this purpose until you revoke your consent.
 
In the case of admission, your personal data will be recorded in the USOS system (University Study-Oriented System) and will also be processed for the purpose of documenting the course of your studies under the provisions of the Law on Higher Education and Science and its implementing acts for the duration of your studies, and then for archival purposes, in accordance with applicable laws (as of today: for a period of 50 years).

 

Recipients of data
Only authorized employees or associates of the Administrator, including members of recruitment committees, who will process your data in connection with the university recruitment process, will have access to your personal data.
Recipients of your personal data may also be entities to which the Administrator orders the performance of certain activities that involve the processing of personal data. In order to ensure the highest possible standard of personal data protection, a personal data processing entrustment agreement will be signed with such entities.
In addition, recipients of your personal data may be entities and institutions authorized to access them under the law.

 

Rights related to processing:
You have the right to:
- access to personal data and receive a copy of it;
- rectification of data (when it is incorrect);
- restriction of data processing;
- transfer of data (in cases specified in the GDPR);
- deletion or restriction of processing of personal data (subject to the provisions of the GDPR);
- lodge a complaint with the President of the Data Protection Authority if you consider that the processing of your personal data violates personal data protection laws.

 

Obligation to provide data and the consequence of not providing data
Provision of personal data is necessary to the extent that the Administrator’s obligation to process such data arises from the law or it is indispensable for the recruitment process. Failure to provide the required personal data prevents participation in the recruitment.
Provision of other data that is not necessary for participation in the university recruitment process is voluntary.

 

Additional information:
A summary of the processed data is presented in the recruitment system after the user logs in.
Decisions about you will not be taken by automated means and your data will not be subject to profiling.
 
 
Other information:
 
Candidates are admitted to first-cycle, second-cycle, long-cycle studies and the Doctoral School on the basis of their enrolment (the candidate is informed of his/her enrolment in his/her personal registration account). Foreigners receive the Rector’s administrative decision on admission. Candidates who are not admitted to a field of study or foreigners who are not admitted to the Doctoral School receive an administrative decision to refuse admission. The aforementioned administrative decisions are delivered via the Online Recruitment of Candidates (IRK) system by means of the Official Acknowledgement of Receipt.
A candidate for studies and a candidate for the Doctoral School (foreigner) may opt out of electronic delivery of the decision on a given enrollment application by notifying the Faculty Recruitment Committee via the "help" tab in the IRK system no later than the last day of registration and payment of fees in the IRK system, but foreigners are then required to provide an address for delivery in the territory of the Republic of Poland or another European Union member state or to indicate a proxy or attorney for delivery in the territory of the Republic of Poland. If electronic delivery is opted out, the decision will only be delivered in the traditional way (by registered letter, with acknowledgement of receipt).
 
 
Data errors:
 
The University of Wrocław is not responsible for erroneous entry of data by the candidate in the IRK system and the consequences of these errors.
The candidate is aware of the responsibility for the consequences of failing to meet the requirements for the photo attached during the registration for studies in the IRK system. He/She acknowledges that failure to meet the photo requirements will result in the University not issuing an Electronic Student ID Card.
